Vocational Education Cardiff Privacy Policy

​​​​​​This privacy policy has been recently updated to reflect the change in the way our courses are conducted due to Covid-19. 

 
This notice is designed to give you information about the data we hold about you, how we use it, your rights in relation to it and the safeguards that are in place to protect it.

The type of personal information we collect​ ​​

We currently collect and process the following information:
  • Email Address
  • Phone number


How we get the personal information and why we have it​

Most of the personal information we process is provided to us directly by you for one of the following reasons:​

  • To identify the work you submit as part of our vocational courses 

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Via Google forms on the work turned in you submit as part of our vocational courses

We use the information that you have given us in order to identify students who have submitted work.


The lawful basis for processing your data​​

Under the UK General Data Protection Regulation (UK ​GDPR), the lawful basis we rely on for processing this information is: 

(a) Your consent. 

You are able to remove your consent at any time. You can do this by contacting vocationaleducation@cardiff.gov.uk​


​Organisations we may share your personal data with


We may share your personal data with third parties and service providers for the purposes of:

  • Verifying your completed work.
  • Offering online learning. 

How we store your personal information ​​


Your information is securely stored on Google drive.

We keep your email address and the work you submitted as part of your course for 6 months after you have completed the course. We will then dispose your information by deleting it from Google Drive.


Your data protection rights​​​

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.


If you wish to exercise any of these rights or have any queries or concerns regarding the processing of your personal data, please contact the Data Protection Officer as indicated below. You also have the right to lodge a complaint in relation to this privacy notice or the Council’s processing activities with the Information Commissioner’s Office.
